½ SCALE SIMULATORS - RIDER- Client is responsible to meet Rider requirements, as it is considered part of the contract. Failure to meet Rider may result in date not starting on time or playing, at client’s expense.
1. ½ SCALE SIMULATORS : A viewing monitor is in front of each ½ scale simulator. Outside events require client provided tent for weather conditions, winds, etc. Please place in area where sunlight will not cause a problem when viewing the monitor. Popup upon request for sunlight conditions only. Client to provide an alternate weather indoor location or completely enclosed tent with floor and sides to provide protection (winds, dust storms, wet grounds, etc.)
2. ACCESS TO SET-UP SITE: Requires cars to be pushed into place within 50 ft of delivery truck. CANNOT BE LIFTED OR TILTED. NO STEPS. ½ Scales cannot go up steps and/or around sharp curves . Access to site will also require the tow vehicle with trailer with 60 ft length to drive to setup location and must be parked in close proximity for maintenance tools. Please provide 2 volunteers to help push cars into show place at set-up and also at tear-down. Client to provide parking for truck/ trailer.
3. DOOR ACCESS, STEPS & FREIGHT ELEVATORS: Please verify access. Each car will fit through a minimum opening of 48”. Usually fits double door without a rod in the center, but each client needs to check. Needs (10ft) length & room to maneuver around corners, elevators, etc. Cannot be moved around sharp ramps, corners, narrow hallways with turns, etc.
4. POWER: Client to provide 4 clean, dedicated 110V 20AMP circuits. Power must be within 50 ft of event. Generators must be pre-approved and meet specs 10,000 WATTS
5. STANDARD PACKAGE: Standard package on isolated date set-ups include (1) viewing monitor in front of simulator.
6. OUTRIGHT PURCHASES AND LONG TERM LEASES: Not applicable.
7. SPACE REQUIREMENTS: The average minimum space requirements are a minimum of 10ft x 20ft. For allowing spectators to stand around simulators, a minimum of 20ft x 20ft is required. Height of client provided tent needs 10ft (51”).
8. CLIENT RESPONSIBLE FOR PAYMENT IN FULL IF UNABLE TO ACCESS SITE. THESE ARE RAIN-OR-SHINE EVENTS, MEANING CLIENT IS RESPONSIBLE FOR PAYMENT IN FULL ON OUTSIDE EVENTS UNABLE TO PLAY DUE TO ADVERSE WEATHER AND CLIENT DID NOT PROVIDE AN ALTERNATE INDOOR LOCATION. Client to provide alternate indoor site, when outdoor conditions are unsafe (electrical operation, winds, rain, sunlight, etc.) Once event is set-up outside, it is considered a successful event and cannot be moved for that day‘s event should bad weather move in, etc. Temperatures less than 50 degrees to be held indoors. Outside locations must be free of damp/wet grounds, water, flat surface.
9. PRE-SHOW ACCESS TO SITE: Minimum of 1-2 hours access to event site is required for proper set-up.
Please allow extra access and setup time during winter weather, for difficult access to site locations, etc.
10. MULTIPLE DAY EVENTS AT SAME EXACT LOCATION: Client to provide adequate security personnel for a multiple day event, otherwise, a secured and locked area for computers, sound equipment, etc.
11. VOLUNTEERS: Client to provide 2 (two) adult volunteer men at arrival and departure. It is suggested for large events, that clients provide volunteers to help select next driver/passengers, crowd control, etc.
12. MONIES, TICKETS OR WRISTBANDS: Operator will accept tickets or watch for wrist bands, but will NOT accept monies..
13. RATES: All rates are based on U.S. Currency exchange.
14. BEVERAGE/SNACK: Please provide crew light snack & water or pop beverages for duration of event (ie: water, pop, etc.).
15. LODGING: See contract terms, if applicable. Hotel must allow parking for truck and trailer.
16. MAPS/DIRECTIONS/EMERGENCY CELL #: Client to provide detailed map, address, directions and preferred on site location sketch. Crew will be traveling in from previous event, and an emergency cell/contact # is appreciated.
17. ROAD MANAGER: Road manager will work with client on mutual setup areas, etc. However, for a quality event based on safety, electrical, access, etc., the road manager will retain the right to a final decision.
18. STORAGE/PARKING OF ALL VEHICLES & TRAILERS: Client is responsible for pre-arranging and/or reimbursing for the following from arrival to departure of event (s): All fees incurred in regards to set-up, storage at event, union labor rules, booth requirements such as floor coverings, backdrops, darkened environments, etc. Client is also responsible for all fees & requirements associated with parking and storing all trucks, trailers and vehicles. This includes pre-arranging parking permits, space reservations, and supplying travel to/from vehicles to/from event site.
19. EXCEPTIONS TO RIDER REQUIREMENTS FOR THIS EVENT MUST BE PREAPPROVED.
